H-ISAC Senior Leadership Team Coordinator Job Description - Titusville, FL Office About H-ISAC The Health Information Sharing & Analysis Center (H-ISAC) is a trusted community of critical infrastructure owners and operators within the Health Care and Public Health sector. The community is focused on sharing timely, actionable and relevant information including threat intelligence, incidents and vulnerabilities that can include indicators of compromise (IOCs), tactics, techniques and procedures (TTPs) of threat actors, best practices, mitigation strategies and other valuable material. -H-ISAC fosters the building of relationships and networking through a number of conferences, workshops and educational events to facilitate trust. The overall responsibility of this key executive role is to provide EA/Administrative support to the Senior Leadership team. - - Essential Duties and Responsibilities: Help compile the strategic updates and KPI's of all departments and pull into the quarterly reports. Monthly: Take meeting minutes at Board Meetings & retreats as requested; draft meeting minutes and send for review. Manage process to monitor progress against board action and/or risk register and keep up to date. Assist in salesanalytics for members and sponsors, US and Global. Research and compile data on various topics Support on employee engagement activities Support on hiring process Help facilitate the scheduling of meetings that require calendar coordination across multiple participants. Make travel arrangements and prepare expense reports for the senior management team as requested. Consolidate data, compile information and prepare worksheets, documents, and reports, as requested. Create Excel spreadsheets, charts, and power point presentations. Protect confidential/sensitive information and exercise discretion and diplomacy. Show high attention to detail in composing, typing, and proofing materials, establishing priorities, and meeting deadlines. Effectively prioritize, manage and follow up on all administrative and project tasks as directed Help manage processes for handling staff deadlines and related submissions. Gather, prepare and publish a daily operational report to the H-ISAC staff Create weekly marketing summary report Inform building manager when new visitors are visiting the office. Assist with maintaining and making sure office supplies are stocked and ordered. Assist the event team with events at the office as needed. Performs all other duties as assigned - POSITION QUALIFICATIONS Have experience as a virtual assistant. Customer Service- high-level of customer service needed for staff, customers and vendors Quality Management- a commitment to excellence and attention to detail without close supervision. Communication Skills - Strong written and verbal communication skills. Critical Thinking - Able to think critically, independently and make sound judgments when needed. Interpersonal Skills -Able to interact with individuals from a variety of levels internally and externally and possess a good attitude. Problem Solving - Able to make independent judgments and use discretion. -Solves problems creatively when needed. Professionalism - Exhibits a professional "face of the company" -, is self-motivated, responsible and disciplined, and able to work as part of a team. Planning and Organizing - Able to handle multiple tasks and demand simultaneously. Confidentiality - Able to protect confidential/sensitive information and exemplify diplomacy - Experience and Education: Degree in Business Administration or related discipline. Minimum of 3 years of experience in an office management setting or high-level administrative role. Proficient in MS Office Applications including Word, Excel and PowerPoint. Experience with multi-tasking and showing a strong attention to detail. - - - - - - Strong graphical design skills (i.e. appearance and presentation). Strong grammar and editing skills.
